1. Who is responsible for your data
The VaroVet pet-owner portal is operated by SIA Waldemaar Group, reg. no. 40203737019, Rīga, LV-1029, Latvia ("VaroVet", "we"). When you create a Portal account and accept the Pet Owner Portal Terms, VaroVet maintains a personal pet health record for you (your "Record") as an independent data controller, on its own legal basis. This is separate from your veterinary clinic's own records, for which the clinic is the controller and VaroVet is only a processor. You exercise your data-protection rights over your Record directly with us.
While your clinic uses VaroVet, your Portal shows a live view of your clinic's records for your animals. If your clinic leaves VaroVet, we keep the copy that was available to you as your independent Record. Your clinic's deletion of its own records does not delete your Record.
2. What we hold
- Your identity and contact details (name, email, phone).
- Your animals' profiles (name, species, breed, and similar).
- Clinical records entered by your clinic: visits, diagnoses, treatments, vaccinations, and related documents.
- Messages you exchange with your clinic through the Portal.
- Basic technical/usage data needed to operate and secure the Portal.
3. How we use it and our legal basis

4. Who we share it with
We share your data with the veterinary clinic(s) caring for your animals, and with the same infrastructure sub-processors listed in our main Privacy Policy (hosting, email, SMS, error monitoring), each bound by an Art. 28 GDPR contract. We do not sell personal data.
5. Retention
We keep your Record for as long as you hold a Portal account. It is not deleted because a clinic stops using VaroVet — if your clinic leaves, we keep the copy that was available to you. If you delete your Portal account, we delete your Record and account data (subject to short backup cycles and any minimal proof of your terms acceptance we must retain for audit). You may also request erasure of specific data at any time.
6. Your rights
Under GDPR you have the right to access, rectify, erase (within the limits set by law), restrict or object to processing, and data portability. You may lodge a complaint with the supervisory authority — in Latvia, Datu valsts inspekcija (www.dvi.gov.lv).

7. Security
We apply industry-standard technical and organisational measures, including encryption in transit, scoped access, and continuous monitoring.
