Your right under the GDPR
No vendor can hold your records hostage
Under the GDPR, your clinic is the data controller of its client and patient records. Your software vendor is only a processor, handling that data on your behalf. The regulation requires processors to return the personal data they hold for you when the service ends.
In plain terms: a complete export of your clients, patients, and history is your clinic's right — not a favour, and not a premium add-on. If you choose to switch providers, you are entitled to take your full data with you.

Request your export
Ask your current provider for a full export of your data. This is your legal right under the GDPR — they cannot refuse it or hold your records hostage.

We map and import
Send us the export — system files, CSV, or spreadsheets. We map clients, pets, visit history, vaccinations, and stock into your VaroVet workspace.

You verify everything
We walk through the imported data together: patient counts, histories, balances. Nothing goes live until you confirm it is complete.

Go live in a day
Your team sees real patients on day one — no implementation project, no retraining programme. The old system stays available until you are ready to switch it off.

Free on annual plans
Full migration support is free of charge for annual Professional and Enterprise subscribers. On monthly subscriptions we quote migration individually, based on the amount of data — ask us and you'll have a number before you commit.
Training
One session is usually enough
Annual subscriptions include one full online training session (1 hour) free of charge. Need more — several rounds, bigger teams, specific workflows? We quote based on the number of people and your requirements. Most teams don't need it: the interface is learned in an afternoon.

Switching — common questions
Can my current software provider refuse to hand over my data?
No. Under the GDPR your clinic is the data controller — the software vendor only processes data on your behalf. When you end the contract, the vendor is legally required to return the personal data it holds for you. Handing over your data at the end of a contract is a legal obligation, not a paid feature.
What does migration to VaroVet cost?
Full migration support is free of charge on annual Professional and Enterprise subscriptions. On monthly subscriptions we quote migration individually, based on the amount and state of the data.
What data can you migrate?
Clients and owners, pets and their details, visit history, vaccination records, and stock balances. We work from the export your current provider gives you — system exports, CSV files, or spreadsheets.
What if my current system is old or partly paper-based?
It does not matter which system you are coming from. If it can produce an export — and under the GDPR it must — we can work with it. Spreadsheets and structured paper records can be brought in too.
How long does switching take?
Days, not months. Once we have your export, we import it into your VaroVet workspace, you verify everything together with us, and your team sees real patients on day one. Your old system keeps running until you are ready, so there is no downtime.
Is training included?
One full online training session (1 hour) is free of charge with annual subscriptions. For more in-depth training or multiple rounds for bigger teams, we quote based on the number of people and your specific needs — though most teams are productive after the first session: the interface is learned in an afternoon.
